This guide covers how sharing and access control work for folders, reports, and dashboards.
What can be shared
- Folders
- Reports
- Dashboards
Share model
- Share targets: Users and Groups.
- Permission choices in share dialogs: View or Edit.
- Manage-level actions are still constrained by ownership/manage rights.
How to share
- Open row actions (catalog) or creator action bar.
- Click Share.
- Choose users/groups in respective tabs.
- Set each selected target to View or Edit.
- Click Save Sharing.
Private and restricted assets
- Private/restricted reports can block direct access for unshared users.
- Dashboard/report open requests may show access denied state with request actions.
Access request workflow
- User attempts to open a restricted report/dashboard.
- User selects request type: View or Edit.
- User adds optional justification comment.
- Owner/reviewer receives request and approves/rejects.
- On approval, user permissions update and access is granted.
- For report requests, approved access can apply at folder sharing level based on owner workflow.
Why users still may not be able to edit
- User has View share only.
- User has item share but missing global Edit Reports permission.
- User has edit but not manage rights for move/delete actions.
Admin and owner best practices
- Use group-based sharing for stable teams.
- Keep folder ownership clear and documented.
- Audit edit access periodically on critical dashboards.
- Use folder-level shares for broad access, item-level for exceptions.
