Deal Room Operations (Active Management)

A Deal Room is not a static email attachment; it is a living, breathing environment. As negotiations evolve, so must your content. This section covers how to update, modify, and perfect a Deal Room without breaking the customer’s experience or changing the link they already have.


A. Pushing Content (CMS <> Live Room)

The “No-Download” Workflow.

Stop downloading files to your desktop just to upload them somewhere else. The “Push” feature links your internal library (CMS) directly to your external sales stage.

  • How it Works:
    1. Find a new asset in the Content Portal (e.g., “Updated Q3 Pricing”).
    2. Select “Push to Deal Room.”
    3. Choose the active Deal Room from the list.
    4. Done. The file instantly appears in the prospect’s view.
  • Why it matters: Speed & Truth. You ensure the file in the Deal Room is the exact same file as the one in the library. No version conflicts, no “Draft_Final_v2” errors.

B. Versioning in Live Rooms

The “Silent Update” Protocol.

This is your safety net. In traditional sales, if you send a proposal with a typo, you have to send an embarrassing “Please ignore previous email” message. In Revspire, you simply fix it.

  • Scenario: You sent a Deal Room link yesterday. Today, Marketing updated the Corporate Deck with new branding.
  • The Fix:
    1. Go to the Version Hub or the specific file in the Deal Room.
    2. Select “Update Version” or “Push New Version.”
    3. The system swaps the old file for the new one inside the same link.
  • The Result: When the prospect clicks the link again five minutes later, they see the new deck. They never knew the old one existed.
  • Revert Version: Did you update by mistake? One click rolls the file back to the previous version instantly.

C. Managing the “Content Mix”

Curating the Narrative.

As the deal progresses from “Discovery” to “Closing,” the content needs to change.

  • Add/Remove Assets: You can add new technical docs or remove irrelevant intro videos at any time. The Deal Room evolves with the conversation.
  • Re-Ordering: Drag and drop files to change the sequence. Put the most important document (e.g., the Contract) at the top once you reach the signature phase.

D. Content Analytics (Feedback Loop)

Ops meets Intelligence.

Every operation you perform here feeds the analytics engine.

  • If you Remove a file: Tracking stops for that asset, preserving historical data but cleaning up the view.
  • If you Update a file: The system tracks engagement on Version 2 separately from Version 1, giving you granular insight into which iteration performed better.
