The Recycle Bin acts as a safety net for your Content Management System. When files or folders are deleted from the Content Portal or My Files, they are “soft deleted” and moved here instead of being permanently destroyed. This allows users to recover accidental deletions without IT support.
Features
- Data Recovery: Restore files and folders to their original location.
- Permanent Purge: Permanently destroy sensitive data that is no longer needed.
- Deletion Audit: View who deleted the item and when it was removed.
- Original Path Tracking: The system remembers where the file used to live, ensuring it goes back to the correct folder upon restoration.
Purpose
To prevent accidental data loss and provide a buffer period where critical sales assets can be recovered if they were removed by mistake.
Permissions
- Access to this module is strictly controlled by the following permissions under Platform > Recycle Bin:
- View Recycle Bin: Required to access the page and see the list of deleted items.
- Restore Content: Required to perform the “Restore” action.
- (Note: Permanent deletion usually requires specific admin privileges or the original Delete Content permission depending on system configuration).
Steps
Viewing Deleted Items
- Click Content > Recycle Bin in the sidebar.
- The list displays all items currently in the trash, including their Name, Deleted By, and Deleted Date.
Restoring Content
- Select the checkbox next to the file(s) or folder(s) you want to recover.
- Click the Restore button (often an icon of a clock or circular arrow).
- Result: The item disappears from the bin and reappears in its original folder in the Content Portal.
- Note: If the original folder no longer exists, the system may restore the file to the “Home” directory.
Permanently Deleting (Purge)
- Select the item(s) you wish to destroy.
- Click the Delete Forever / Purge button (Trash Icon).
- Warning: A confirmation dialog will appear. Once confirmed, this data cannot be recovered by any user.
Limitation and Notes
- Storage Quota: Items in the Recycle Bin still count toward your organization’s total storage limit. If you are out of space, you must permanently delete items here to free up capacity.
- Retention Policy: Depending on your organization’s settings, the Recycle Bin may automatically empty items older than a certain number of days (e.g., 30 or 90 days).
- Orphaned Restores: If you restore a file that was previously attached to a Deal Room, the link in the Deal Room is usually re-established automatically.
