Folders & Report Library Management

This guide explains how to manage the reporting library at scale using folders and catalog controls.

Library scopes

  • My Folders: content you own/manage (root: My Custom Reports).
  • Shared With Me: content shared by other owners.

Catalog features

  • Breadcrumb navigation through nested folders.
  • Search by name and description across folders, reports, and dashboards.
  • Row-level actions based on your permissions.
  • Permission badges to show effective access on each item.
  • Private indicator on eligible report rows.

Create assets in the current location

  • Add Folder: create a new subfolder.
  • Add Report: create a new report in the current folder.
  • Add Dashboard: create a new dashboard in the current folder.

Creation in a folder requires create rights plus folder-level allowance.

Folder operations

  • Share Folder: assign users/groups with View or Edit.
  • Rename Folder: update display name.
  • Clone Folder: duplicate folder structure/content as permitted.
  • Move Folder: relocate under a different parent.
  • Delete Folder: removes folder and contained reports/dashboards (with confirmation).

Report and dashboard operations from catalog

  • Open item.
  • Share (where allowed).
  • Rename report.
  • Clone report/dashboard.
  • Move report/dashboard to another folder.
  • Delete report/dashboard.
  • Favorite report/dashboard.

Move workflow details

  • Move dialog supports root and nested folder targets.
  • Use breadcrumbs in the dialog to navigate target location.

Recommended folder strategy

  • Organize by business function (Sales, CS, Leadership, Operations).
  • Use subfolders for region/team/use-case segmentation.
  • Prefer folder-level sharing for team libraries.
  • Reserve item-level sharing for exceptions.
